Next Level Baseball ("NLB," "we," "us," or "our") respects your right to control your personal data. This policy explains how you can request deletion of your personal information from our systems.

Overview

Under various privacy laws including GDPR, CCPA, and other applicable regulations, you have the right to request deletion of your personal data. We are committed to honoring these rights while maintaining the integrity of our tournament records and complying with legal obligations.

This policy applies to all users of Next Level Baseball services, including coaches, team managers, players, parents, and guardians.

1. What Data Can Be Deleted

Eligible for Deletion

  • Account Information: Username, email address, password, profile photos
  • Contact Details: Phone numbers, mailing addresses
  • Personal Preferences: Communication preferences, notification settings
  • Optional Profile Data: Bio, social media links, additional contact information
  • Usage Data: Login history, browsing activity, search queries
  • Marketing Data: Newsletter subscriptions, promotional communications

Data We Must Retain

Certain data must be retained for legal, regulatory, or operational reasons:

  • Tournament Records: Team registrations, game results, standings, brackets (anonymized where possible)
  • Financial Records: Payment transactions, invoices, refunds (required for tax and accounting compliance)
  • Legal Documentation: Signed waivers, liability releases, consent forms
  • Dispute Records: Information related to ongoing disputes, investigations, or legal proceedings
  • Safety & Security: Records of code of conduct violations, safety incidents

2. How to Request Data Deletion

Step-by-Step Process

Include your full name, email address associated with your account, and any team affiliations. We may request additional verification to protect your privacy.

Specify Your Request

Clearly state what data you want deleted. You can request deletion of your entire account or specific categories of information.

Receive Confirmation

We will acknowledge your request within 48 hours and provide an estimated timeline for completion.

Deletion Completed

Once processed, we will send you a confirmation email. The process typically takes 30 days or less.

  • Full name as it appears in your account
  • Email address associated with your account
  • Team name(s) if applicable
  • Specific data categories you want deleted (or "all personal data")
  • Reason for deletion (optional but helpful)

Extended Timeline for Complex Requests

In some cases, such as accounts with extensive tournament history or ongoing legal matters, the process may take up to 60 days. We will notify you if additional time is needed.

4. What Happens After Deletion

Immediate Effects

  • Your account will be deactivated and you will no longer be able to log in
  • Personal information will be removed from active databases
  • You will stop receiving marketing communications
  • Your profile will no longer be visible to other users

Anonymization

For data that must be retained for legal or operational reasons, we will anonymize your information by:

  • Removing personally identifiable information (name, email, phone)
  • Replacing identifiers with generic labels (e.g., "Team A", "Player 123")
  • Ensuring the data cannot be traced back to you

Backup Systems

Data in backup systems will be deleted during the next scheduled backup cycle, typically within 90 days. These backups are not accessible for operational use and are maintained solely for disaster recovery purposes.

5. Exceptions & Limitations

We may deny or delay your deletion request in the following circumstances:

Legal Obligations

We are required by law to retain certain records (e.g., financial transactions, tax documents)

Ongoing Disputes

Active legal proceedings, investigations, or unresolved disputes require data retention

Fraud Prevention

Data needed to detect, prevent, or investigate fraud, abuse, or security incidents

Contractual Obligations

Outstanding payments, refunds, or other contractual matters must be resolved first

Note: If we cannot fully comply with your deletion request, we will explain the reasons and inform you of what data must be retained and for how long.

6. Deletion of Minor's Data

For data related to minors (under 18 years old), deletion requests must be submitted by a parent or legal guardian.

Additional Verification Required

To protect minors, we require additional verification for deletion requests:

  • Proof of parental/guardian relationship
  • Government-issued ID verification
  • Signed consent form (provided upon request)

Tournament participation records may be retained in anonymized form for historical and statistical purposes, even after deletion of personal identifiers.

7. Third-Party Services

We use third-party services for payment processing, email communications, and analytics. When you request data deletion, we will:

  • Request deletion of your data from our third-party processors where applicable
  • Provide you with information about third-party services that may retain data independently
  • Guide you on how to submit deletion requests directly to third parties if needed

Unsubscribe from marketing emails and notifications while keeping your account active.

Good for: Reducing emails without losing access

Data Minimization

Remove optional information from your profile while keeping essential data.

Good for: Reducing your data footprint without full deletion

Data Export

Download a copy of your data before deletion. Available upon request.

Good for: Keeping personal records before account closure
